Finding the task worth automating

For one week you log what you do and how long it takes. The task worth automating is rarely the most annoying one; it is usually the most repeated — the twenty-minute job that happens forty times a month. You learn to estimate the saving before investing time in building it, so you can drop what does not pay off.

Prompts that return the same shape every time

A good prompt is not a long one. It fixes the output format, gives examples and states what the model must not do. You separate the fixed instruction from the data that changes, so it can be reused instead of rewritten. That is the step that turns a one-off trick into a process.

Working on your documents, not on the open web

Most of the value shows up when the model reads your price list, your catalogue or your contracts instead of answering from memory. You learn to prepare those files, to hand them over in a way the model genuinely uses, and to spot when it is inventing something that was never in there.

Connecting tools so nothing gets copied by hand

A form, a spreadsheet, an inbox and a CRM can talk to each other without anyone pasting anything. We build one complete flow with visual tools, no code, and leave it running. It is the same work we do in AI automation for clients, taken apart step by step.

Checking output before a customer sees it

Every automation needs one point where a person approves or corrects. You will see where to put it so it does not cancel out the saving, which mistakes are typical of each kind of task, and what should never be automated: pricing, contracts and anything with legal consequences.

Measuring whether it saved time at all

You compare before and after on the same terms, counting the time spent reviewing and fixing as well. Plenty of automations save less than they appear to, and some cost more than the manual work did. Leaving able to tell which is which is the part almost nobody teaches.

Who makes it

Frequently asked questions

Why pay when Google's AI course is free?

Because they teach different things. Google's is general AI literacy and it is well made: if you have never used a model, start there and pay nothing. This one starts where that ends, with one task of yours, its data and its tools, until it runs and the saving is measured. If you want an introduction, the free one serves you better.

Do I need to code to automate tasks with AI?

No. The whole course uses visual tools where you drag blocks and connect accounts, the same kind as Make or Zapier. You should be comfortable with spreadsheets, because nearly every flow passes through one at some point.

How long does it take to automate a repetitive task?

A simple single-tool task is usually done in two or three hours including testing. One that crosses three systems and needs human review can take a couple of days spread out. The practical rule is to skip anything whose yearly saving does not clearly beat the time to build and maintain it.

Which office tasks should be automated first?

The frequent ones with clear rules, where a mistake is obvious at a glance: sorting incoming email, summarising form submissions, drafting replies, moving form data into a sheet. Anything needing judgement, negotiation or carrying legal consequences stays with a person. AI automation for small businesses has examples of where most teams start.

Will the certificate help me get a job?

On its own, not much. What works in an interview is being able to say what you automated, how much time it saved and how you verified that. The course ends with one measured case of your own, which is the part you can show; the certificate only confirms you finished.

Is it useful if my employer bans ChatGPT?

Yes, with one adjustment. The method does not depend on a specific tool and works the same with Copilot, Gemini or Claude, which is usually what gets approved at companies with data rules. We include what to ask your IT team before putting company information into any model.
